Getting Started
First-Time Access
You’ve just received your invite email — what happens next?
- ✔ Open the link in a modern browser (Chrome, Edge, Safari).
- ✔ Sign in with the account specified in your onboarding instructions.
- ✔ Select your DaVinci Cloud Workspace from the available desktops.
- ✔ If the screen stays blank, wait 10–20 seconds for the VM to start.
During Your Session
Working in Visio with Toolkit
How to actually draw once you’re inside the workspace.
- ✔ Launch Visio from the Start menu or taskbar.
- ✔ Open the IP DaVinci templates for A4 or Letter page sizes.
- ✔ Load the patent drawing stencils if they’re not already pinned.

Licensing & Access
Visio Sign-In & BYOL
What to expect when Visio asks you to sign in.
- ✔ If your organization uses BYOL, sign in with your own Microsoft 365 account.
- ✔ If IP DaVinci provided a Visio Plan 2 license, use the account details we sent you.
- ✔ If you see licensing or activation errors, contact support with screenshots.
If Something Goes Wrong
Most issues are easy to fix once we know what you’re seeing.
I Can’t Log In or See My Desktop
Login and connection issues are usually related to credentials, browser, or network.
- ✔ Confirm you’re using the correct login link from your onboarding email.
- ✔ Try a different browser (Chrome or Edge recommended).
- ✔ Check your VPN or corporate firewall if you’re on a locked-down network.
- ✔ If nothing works, send us a screenshot of the error screen.

Visio or Toolkit Isn’t Available
If Visio or the IP DaVinci Toolkit isn’t showing as expected inside the VM, it’s usually a configuration issue on that host.
- ✔ Check the Start menu and search for 'Visio'.
- ✔ If Visio opens but the templates/stencils are missing, note which items you expected to see.
- ✔ Do not attempt to install your own software inside the VM.
- ✔ Contact support so we can repair the image or reassign you to a corrected pool.
In your email, list the missing templates/stencils and whether this is your first session.
Performance, Lag or Disconnections
Cloud desktops depend heavily on network conditions. We can help you tune your environment for smoother drawing.
- ✔ Check your internet connection; wired or strong Wi-Fi is recommended.
- ✔ Close bandwidth-heavy apps (video streaming, large downloads) while drawing.
- ✔ If you’re being disconnected frequently, note the approximate times and your location.
- ✔ We can adjust backend settings or suggest an alternative region if needed.
Performance tuning is a shared responsibility: your network + our cloud settings.
Licensing or Activation Errors
Sometimes Visio may ask you to sign in again or show an activation warning.
- ✔ If your organization uses BYOL, ensure your Plan 2 license is still assigned in your home tenant.
- ✔ If IP DaVinci provides your license, do not try to change the account without checking with us.
- ✔ Take a screenshot of any error and send it to support.
- ✔ We’ll verify licensing status and adjust your assignment if needed.
For law firms & universities, your internal IT/licensing contact may also need to be looped in.
