DaVinci Cloud Workspace — Licensing Compliance Statement

Last updated: {{ current_date }}

IP DaVinci provides a managed cloud workspace environment for patent drawing, drafting, training, and diagram-creation workflows. This environment may include software that IP DaVinci is properly licensed to install and operate on its own cloud-based virtual machines.

This page explains how our licensing model works and how we ensure compliance with Microsoft and other software vendors.

1. Software Is Licensed to IP DaVinci, Not to End Users

All Microsoft Visio installations used within DaVinci Cloud Workspace are:

  • Licensed directly to IP DaVinci
  • Installed only on IP DaVinci–owned virtual machines
  • Never provided as product keys or downloads to customers
  • Accessible exclusively through remote desktop/cloud workspace access

End users do not receive, own, or transfer any software licenses.

2. DaVinci Cloud Workspace Is a Managed Virtual Desktop, Not SaaS

DaVinci Cloud Workspace is not a “Visio-as-a-Service” platform.

Users rent access to a fully managed virtual desktop environment, which includes:

  • Patent-drawing tools
  • Training materials
  • IP DaVinci Toolkit
  • Preconfigured Visio installations (where applicable)

This model aligns with Microsoft’s licensing requirements for shared-device access, device-based licensing, and hosted virtual desktop environments.

3. One License Per Host Device (VM)

Microsoft Visio (Standard or LTSC Professional) is licensed per device.

Each virtual machine (VM) hosting Visio has its own:

  • Device-based Visio licence
  • Proof of purchase retained by IP DaVinci
  • Restricted access to ensure concurrency compliance

Only one user at a time may actively use the software per licensed device.

We use a license-to-host-count ratio that ensures full adherence to concurrency and device-access licensing terms.

4. No Customer Installs, Keys, or Transfers

Customers:

  • Cannot install software locally
  • Never receive product keys
  • Cannot copy, extract, or transfer the software
  • Only access the software inside a controlled VM environment

This ensures licences remain strictly under IP DaVinci’s ownership and control.

5. Optional BYOL (Bring Your Own License) Support

Organizations with their own Visio Plan 2 or Visio LTSC licences may optionally use:

  • Their own Microsoft accounts
  • Their own tenant’s licenses
  • Their own activation method

This is common for law firms, corporate R&D teams, and universities already licensed for Microsoft products.

6. Regular Internal Compliance Verification

IP DaVinci maintains:

  • A licensing ledger
  • VM/host mapping
  • Proof-of-purchase documentation
  • Concurrency and usage logs
  • Scheduled internal compliance reviews

This documentation is kept current to support audit readiness.

7. No Unauthorized Software Hosting

We do not:

  • Provide Visio as standalone SaaS
  • Resell Microsoft software
  • Circumvent licensing restrictions
  • Host cracked, OEM-restricted, or non-genuine software

All software comes from legitimate, auditable sources.

8. Questions or Audit Cooperation

We fully cooperate with Microsoft or any software vendor in the event of a license validation request.

Summary

DaVinci Cloud Workspace operates as a managed cloud desktop solution, not a SaaS rental of Visio.
All Microsoft software is:

  • Properly licensed
  • Installed on licensed devices (VMs)
  • Controlled centrally
  • Used under device-based or customer-provided licensing

This approach keeps our service compliant for individuals, law firms, universities, and corporate R&D departments.
