FOR R&D & CORPORATE IP LEADERSHIP

Reduce figure rework. Speed up disclosures and filing.

A standardized Microsoft Visio-based workflow (training + templates + support) that keeps invention figures editable from lab → disclosure → counsel — productive in hours, not weeks.

Used by R&D groups and corporate IP teams to reduce redraw cycles and improve counsel handoffs.

💡 Cloud Workspace available for Mac, iPad, and locked-down environments (browser-based access).

R&D patent figure workflow shown in Microsoft Visio using the IP DaVinci system

What Is the IP DaVinci System?

A complete Microsoft Visio-based invention drawing system for R&D teams: low-learning-curve training, Visio templates & stencils, optional cloud workspace, and studio support.

I built the IP DaVinci Patent Drawing System™ to help R&D teams produce clear, standardized invention figures in Microsoft Visio — so ideas move faster from engineering to disclosure to patent filing, without communication gaps or redraw-heavy revisions.

After 30+ years in the patent drawing ecosystem, I saw the same pattern across R&D organizations: invention visuals start as whiteboard photos, slides, screenshots, rough sketches, and mixed-format diagrams. Without a standard workflow, teams lose time translating intent into filing-ready figures — leading to slow disclosure prep, unclear inputs, repeated clarification cycles with IP/legal, redraws, and avoidable dependence on external drafting.

IP DaVinci solves this at the system level by combining:

  • Role-based Training (so non-drafters become productive fast)
  • Toolkit Templates + Stencils (so visuals are standardized and figure work is faster)
  • DaVinci Cloud Workspace (Windows + Visio in the browser for Mac/locked-down IT)
  • Studio Services (outsourcing for complex, time-sensitive, or overflow work)

The result is faster invention capture, clearer disclosures, and smoother handoffs to IP counsel — because engineers, inventors, and IP teams collaborate in the same editable Visio source file instead of passing static images and rebuilding drawings later.

LEARNING

Training (Starter Package)

Structured, role-based training that teaches the essential Visio skills, patent drawing standards, and figure-specific drawing techniques needed to produce patent-ready drawings within a standardized system.

STANDARDS

Toolkit (Starter Package)

Visio templates and stencils that enforce patent-ready standards while accelerating figure creation and keeping drawings consistent and editable across matters.

SUPPORT

Maintenance & Support (Annual)

Optional annual plan that keeps the Toolkit current, provides drawing/system support, and includes Studio credits.

ACCESS

DaVinci Cloud Workspace (Optional)

Managed Windows + Visio in the browser when local installs aren’t practical (Mac, iPad, Linux, locked-down environments).

CAPACITY

Studio (Optional)

Expert drawings for complex or time-sensitive cases — fully compatible with the same system.

What R&D teams achieve with one shared system

Consistency first. Speed follows.

TIME

Reclaim engineer and counsel hours

Replace slow sketching and clarification loops with a shared, editable figure file that can be refined quickly.

  • Routine figures completed in minutes, not hours
  • Same-day iteration with IP/counsel
  • Less time clarifying intent and embodiments
COST

Reduce vendor dependence

Handle routine sheets internally and use vendors only when complexity or scale requires it.

  • Lower per-application vendor spend
  • Vendors finalize instead of recreate
  • Reduced queue time and coordination overhead
QUALITY

Create durable, reusable IP assets

Standardized, editable figures improve drafting quality and support long-term portfolio continuity.

  • Cleaner disclosures and claim support
  • Figures evolve with claims and continuations
  • Reuse across families and follow-on filings
$60k–$67.5k / year
Vendor cost avoided
$40k–$120k / year
Attorney capacity returned
500–1,500 hours / year
R&D time reclaimed
Same-day iteration
Cycle time impact

Illustrative example based on ~100 disclosures/year. Scales with disclosure volume and staffing model.

What actually changes inside the workflow

Same innovation process. Faster IP execution.

Most organizations already follow a familiar loop: Engineer → Disclosure → IP review → Counsel → Vendor → Revision. IP DaVinci doesn’t change the loop — it improves the quality and speed of what moves through it.
1

Invention Capture

Before
PowerPoint, whiteboard photos, or rough sketches captured for later interpretation.
After
Structured, editable Visio figures created early using standardized templates and shapes.
2

Disclosure Package

Before
Ambiguity persists; counsel must ask follow-ups or redraw to understand embodiments.
After
Counsel-ready figures clarify embodiments earlier and reduce back-and-forth.
3

Internal IP Review

Before
Inconsistent visuals make disclosures harder to evaluate and compare.
After
Consistent formatting improves review speed and decision quality.
4

Drafting and Vendor Work

Before
Vendors redraw from scratch; queue time and cost added.
After
Vendors finalize instead of recreate — routine sheets handled in-house when appropriate.
5

Revisions and Office Actions

Before
Email markups, delays, and repeated reinterpretation.
After
Edits happen in the same file — revisions completed quickly.

SYSTEM ADOPTION

The Default Adoption Path

Start with the system. Add support or services only when needed.

The IP DaVinci System Adoption Path:

  1. Start with the Starter Package, which includes Training and the Toolkit.
  2. Keep Maintenance & Support active annually to receive Toolkit updates, system support, and Studio credits.
  3. Add Cloud Workspace only when local installs aren’t practical (Mac, iPad, Linux, locked-down IT).
  4. Use Studio only when you want drawings done for you.

START Starter Package

Start with the Starter Package

Everything you need to adopt the system and produce patent drawings yourself.

  • Training to learn the workflow.
  • Toolkit with templates and stencils.
  • One-time purchase. You keep what you receive.
ONGOING Maintenance

Add Maintenance & Support

Optional annual plan for active production use.

  • Toolkit updates and refinements.
  • Drawing and system support.
  • Studio credits included.
OPTIONAL Cloud

Add Cloud Workspace when installs aren’t practical

Run Windows + Visio in the browser for mixed-device or locked-down environments.

  • Ideal for Mac, iPad, Linux, and restricted IT setups.
  • Keeps the same system and file compatibility.
OPTIONAL Done-for-you

Use Studio when you want drawings done for you

Delegate complex, high-volume, or time-sensitive work.

  • Uses the same system.
  • No redraw or compatibility issues.

Why this matters: You only pay for what you actually need. Own the system outright, keep it current when you’re actively using it, and delegate only when it makes sense.

Implementation model

1

Pilot

Start with one product team, lab group, or business unit using the Starter Package.

2

Standardize

Establish shared figure conventions for disclosures and counsel handoff using the IP DaVinci Toolkit.

3

Maintain

Optionally add Maintenance & Support to keep tools current and get help as needed.

4

Scale

Roll out across R&D with Cloud Workspace or Studio support only where access/capacity requires it.
