FOR INTERNAL IP & LEGAL TEAMS

Fewer redraw cycles — cleaner handoffs to outside counsel

A standardized Microsoft Visio-based workflow (training + templates + support) that improves disclosure figure quality, reduces revision loops, and keeps figures editable through drafting and prosecution.

Used by corporate IP teams to standardize figures and reduce back-and-forth with inventors, vendors, and outside counsel.

💡 Cloud Workspace available for Mac, iPad, and locked-down environments (browser-based access).

Internal IP team reviewing standardized, editable invention figures using the IP DaVinci Visio workflow

What Is the IP DaVinci System?

A complete Microsoft Visio-based patent drawing system for in-house IP teams: low-learning-curve training, Visio templates & stencils, optional cloud workspace, and studio support.

I built the IP DaVinci Patent Drawing System™ to give in-house IP teams a standardized, low-learning-curve way to create, revise, and maintain patent-ready drawings in Microsoft Visio — improving disclosure quality and reducing redraw cycles during drafting and prosecution.

After 30+ years in the patent drawing ecosystem, I saw the same pattern across organizations: invention visuals arrive from R&D as slides, screenshots, sketches, and mixed-format diagrams, without a repeatable figure workflow. That creates intake ambiguity, clarification cycles, redraws, inconsistent figure quality, and delays — and often forces teams to rebuild figures multiple times across filings, office actions, and continuations.

IP DaVinci solves this at the system level by combining:

  • Role-based Training (so non-drafters become productive fast)
  • Toolkit Templates + Stencils (so standards are enforced and figure work is faster)
  • DaVinci Cloud Workspace (Windows + Visio in the browser for Mac/locked-down IT)
  • Studio Services (outsourcing for complex, time-sensitive, or overflow work)

The result is clearer disclosures, faster figure turnaround, and more consistent drawings across matters — because inventors, in-house IP teams, outside counsel, and vendors collaborate in the same editable Visio source file instead of passing static markups and repeatedly recreating drawings.

LEARNING

Training (Starter Package)

Structured, role-based training that teaches the essential Visio skills, patent drawing standards, and figure-specific drawing techniques needed to produce patent-ready drawings within a standardized system.

STANDARDS

Toolkit (Starter Package)

Visio templates and stencils that enforce patent-ready standards while accelerating figure creation and keeping drawings consistent and editable across matters.

SUPPORT

Maintenance & Support (Annual)

Optional annual plan that keeps the Toolkit current, provides drawing/system support, and includes Studio credits.

ACCESS

DaVinci Cloud Workspace (Optional)

Managed Windows + Visio in the browser when local installs aren’t practical (Mac, iPad, Linux, locked-down environments).

CAPACITY

Studio (Optional)

Expert drawings for complex or time-sensitive cases — fully compatible with the same system.

What in-house IP teams achieve with one shared system

Clarity first. Speed follows.

Speed

Accelerate invention disclosure readiness

Standardized, editable invention figures reduce follow-up questions and shorten the path from inventor input to counsel-ready disclosures.

  • Cleaner visuals at intake (less ambiguity)
  • Fewer clarification loops with inventors
  • Faster handoff to outside counsel
Efficiency

Reduce internal coordination burden

When figures stay editable and standardized, IP teams spend less time managing redraw cycles and more time driving portfolio strategy.

  • Less time chasing revisions and markups
  • Fewer rebuilds from screenshots/slides
  • More predictable timeline from intake → draft
Quality

Improve consistency across filings

A repeatable figure workflow produces clearer, more consistent drawings across inventors, business units, and outside counsel relationships.

  • Standard structure and formatting across teams
  • Fewer quality issues discovered late
  • Better alignment with counsel expectations
Collaboration

Enable inventor collaboration without chaos

Inventors and engineers can contribute directly in a controlled environment — reducing misinterpretation without introducing new software complexity.

  • Inventors clarify intent in the source file
  • Better inventor-to-counsel communication
  • Less dependence on static images and redlines

Where internal IP teams use the system

From disclosure triage to prosecution support.

Disclosure Intake & Triage

Get clearer invention visuals upfront so embodiments can be evaluated faster with fewer follow-up questions and less rework.

Inventor Collaboration

Refine key figures with inventors in a structured, editable format instead of translating slides and sketches later.

Outside Counsel Handoff

Provide counsel with consistent, editable figures that reduce redraw time and shorten clarification loops during drafting.

Office Actions & Revisions

Update figures in the same file for amendments and prosecution changes — no markup chains, no vendor queue delays.

Portfolio Consistency

Maintain consistent figure conventions across matters and families so portfolio visuals stay coherent over time.

SYSTEM ADOPTION

The Default Adoption Path

Start with the system. Add support or services only when needed.

The IP DaVinci System Adoption Path:

  1. Start with the Starter Package, which includes Training and the Toolkit.
  2. Keep Maintenance & Support active annually to receive Toolkit updates, system support, and Studio credits.
  3. Add Cloud Workspace only when local installs aren’t practical (Mac, iPad, Linux, locked-down IT).
  4. Use Studio only when you want drawings done for you.

START Starter Package

Start with the Starter Package

Everything you need to adopt the system and produce patent drawings yourself.

  • Training to learn the workflow.
  • Toolkit with templates and stencils.
  • One-time purchase. You keep what you receive.
ONGOING Maintenance

Add Maintenance & Support

Optional annual plan for active production use.

  • Toolkit updates and refinements.
  • Drawing and system support.
  • Studio credits included.
OPTIONAL Cloud

Add Cloud Workspace when installs aren’t practical

Run Windows + Visio in the browser for mixed-device or locked-down environments.

  • Ideal for Mac, iPad, Linux, and restricted IT setups.
  • Keeps the same system and file compatibility.
OPTIONAL Done-for-you

Use Studio when you want drawings done for you

Delegate complex, high-volume, or time-sensitive work.

  • Uses the same system.
  • No redraw or compatibility issues.

Why this matters: You only pay for what you actually need. Own the system outright, keep it current when you’re actively using it, and delegate only when it makes sense.

How internal IP teams typically adopt IP DaVinci

1

Pilot with one inventor group

Start with the Starter Package for a small group, standardize common figure types, and validate faster review + cleaner counsel handoffs.

2

Set a disclosure figure baseline

Define figure conventions and Toolkit defaults so outputs are consistent, reviewable, and easy to revise.

3

Scale across business units

Expand usage across teams; keep the system current with Maintenance & Support and add Cloud Workspace or Studio only where access or capacity requires it.

Used by corporate IP teams
